They ensure that lights are on, requests are processed and servers run smoothly. They advise students, organise appointment procedures, check and pay invoices. They support visiting scholars, write press releases and monitor university funds.
You can probably tell from this short (and incomplete) list that our technical and administrative staff are indispensable for the university.

The tasks of our non-academic employees are as diverse as our university. They work in university administration, in the faculties, in the library or in the Data Processing Centre (Datenverarbeitungszentrale, DVZ).
Our university administration consists of several (administrative) departments. They take care of all cross-disciplinary matters at the university and coordinate the faculties’ work.
All our (administrative) departments, the Data Processing Centre and the library regularly seek to employ qualified specialists – e.g., IT specialists, facility managers, librarians or office managers. Would you like to look for vacancies directly?
You may have been asking yourself which types of jobs technical and administrative staff actually have. Below, we will introduce you to our departments and offices, as well as the IT Service Center and the university library in more detail.
They prepare the accreditation of new study programmes, manage university-wide projects or monitor finances: our employees in Department I work in many cross-cutting roles in our university’s strategic management. They are financial controllers, project managers or university planning administrators.
Department II: Student Affairs
Which study programme is right for me? How do I finance my studies? How can I have prior learning achievements from another university accredited for my studies? Our employees in the Registrar’s and Examination Office and in Student Advising and Counselling help students with all questions related to their studies. They advise, provide information and realise their own projects.
Department III: Human Resources and Organisation
Whether it’s appointment procedures, recruitment or services such as mailroom and printing: Our employees in Department III understand themselves as modern service providers for all HSBI members – in the faculties, in administration, in the library and in the Data Processing Centre. Their tasks include reviewing applications, managing the offices in the faculties, handling travel expense reimbursements or planning and accompanying appointment procedures.
Our employees in Department IV have a broad range of responsibilities in financial planning, accounting and purchasing as well as in research advice and the administration of third-party funds. For example, they are administrative assistants, accountants or research and development officers.
Department V: Facility Management
At our locations in Bielefeld, Gütersloh and Minden, we maintain a number of buildings with more than 100,000 square metres of area. Our employees in Department V include engineers, facility managers and technicians who take care that everything works as it should.
How can international students settle in well in Bielefeld, Gütersloh or Minden? Which opportunities do HSBI students who would like to spend a semester abroad have? And how can international research collaborations be established? The employees in Department VI deal with questions like these. They work as university translators, international officers or advisers for stays abroad, for example.
The employees in the Communications Office have a diverse range of responsibilities in internal and external communications, such as holding press interviews, organising the Open House Day or designing social media posts. They work as editors, graphic designers and event managers.
Department for Scientific Further Education, Work-Integrated and Part-Time Studies
Our employees in the Department for Scientific Further Education, Work-Integrated and Part-Time Studies can be consulted in all questions regarding the concept and organisation of new continuing education or part-time and work-integrated programmes. They advise cooperating companies, assist in conceiving and establishing continuing education offers and collaborate with non-university institutions.
Data Processing Centre
Our employees in the Data Processing Centre make sure that our IT infrastructure and IT services always run smoothly. They administer servers, develop applications and interfaces and advise users at the IT ServiceDesk. The DVZ staff consists of, e.g., frontend developers, system administrators and IT specialists.
Library
The responsibilities and services of our library employees are diverse, too. They are librarians, advisers and university didactic training officers who assist students and teaching staff in researching scientific databases, offer advice and training and contribute to cross-department projects.
The required qualifications depend on the advertised position. You will always find them in the respective job advertisement.

The salary of our technical and administrative staff is in accordance with the Collective Agreement of the German Federal States (TV-L), which consists of 15 salary groups. We usually specify the salary group for the respective job in the advertisement. Within these salary groups, there are six experience levels and you will be assigned to one depending on how much work experience you bring and how long you have been employed at the university. After some time, you will progress to the next level and your salary will increase. You can view the salary overviews on Finanzverwaltung NRW’s website.
